Overview of the File Room Listing Report

The “File Room Listing” report provides an alphabetic or numeric list of “Clients/Matters.” 

The report includes the following information:

  • Client Number
  • Matter Number
  • Client Name
  • Matter Name
  • Contact Name
  • Business Phone Number
  • Responsible Lawyer
  • Type of Law
  • Major Client
  • Date Opened

To print report:

  1. Click on Reports
  2. Select the File Room Listing report
  3. Transactions From - Select the date range for transactions to include on the report.

Note:

Default range is 01/01/1980 to current date. The From date is critical and must be before any data has been entered that may affect the report as opening balances will not be included.

4.   Report by  - Filter the report by “Firm”/ “Responsible lawyer”/ “Originating lawyer”. Default selection is “Firm”.

5.    Client / Matter - Select the “Clients /Matters” to include by clicking on “Range” and enter the Client/Matter number or range of Client/Matter numbers required. Default selection is “All”.

6.    Lawyer / Timekeeper - To report for a single lawyer or range of lawyers either by “Responsible or Originating lawyer” click on “Select” and select the relevant Lawyers to report on. To include all Lawyers, leave the default setting to “All”. A separate page will print for each lawyer.

7.   Type of Law - To report for a specific type of law, click on “Select.” To report on all types of Law, leave the default setting to “All.” 

8.   Major Client - To report for a specific major client, click on “Select.” To report on all Major Clients, leave the default setting to “All.”

9.   Options - Select “Alpha” to sort by client name or select “Numeric” to sort by client number. Default selection is “Alpha”.

10.  Output Options - Select “View” to display the report on the screen, “Export to CSV” to export the report or “Print” to print the report.

    • Report Type: Standard
      • Produces standard report with all of the details as listed above.
    • Identification & Verification
      • Produces report with additional details displayed with the current status which is set under the individual Clients/Matters settings > Identify/Verify.
      • P -> In Progress
      • C -> Complete
      • N -> Not Completed
      • Option to Select “Show exempted clients only”
      • These are the clients/matters that have been “Exempt from Identification” Clients/Matters -> Additional Information.

11.   Select to include Clients that are Open, Closed or All

  • Check the box to add
    • Full matter description
    • Full name and address
    • Report only GST/HST exempt

  •  The report can be exported to Excel or PDF from the “View” screen.

Tips: 

  • Select memorize to add the report with the current options to the memorized reports.  Report can only be added once to the memorized reports.
